What your clients receive

The emails KeptHaven sends your clients on your behalf, in your brand, with when each one goes out. Sample data; nothing is sent from here.

When you tap Send invite on a client's row in Client concierge.

Sent as KeptHaven

Nothing goes out when you create a home file. You choose the moment; the email carries one link, the client chooses a password and is in.

Your own outreach lives in Client concierge

These emails keep the standard follow-ups going on their own. For anything personal, open the client and use Draft a follow-up on their Tasks tab, or send them a note from Activity; they reply right inside their home file.

Your first 30 days

A week-by-week launch plan. Follow it exactly once. By day 30 it becomes how you work.

  1. Week 1

    Plant your flag

Finish the first-run checklist and get fluent in your own home file before a client sees one.

    • Build your own home file from the Welcome screen, then finish the checklist: photo and phone, logo and colours, landing page, first client.
    • In Branding Studio, add a second line for your brokerage if your name is long and answer whether you use Follow Up Boss.
    • Add your license number and publish My page. Open Share and save your link and QR code.
    • Explore your own home file until the score, the records and Ask My Home feel like second nature.
  2. Week 2

    Load the home files

Stand up your first real home files and send the invites.

    • Pick your three best past clients as your launch cohort and add each with Add one client.
    • Check the county record and the street photo on each before you send anything.
    • Export the rest of your closings (a spreadsheet, or a Follow Up Boss export if you use it) and run Import many clients.
    • Send invites to the launch cohort from Client concierge, each followed by a personal note.
  3. Week 3

    Activate your sphere

Put home files in clients' hands and your pros on the map.

    • Deliver each launch home file personally, in person or on a short video call, and watch the row turn to claimed.
    • Send invites to the next twenty from Client concierge, in batches of ten, each followed by a text in your own words. The Monday digest and Thursday nudge take over once a home file is claimed.
    • Draw your service areas under Vendor Nominations, then nominate your five most-trusted pros into them.
    • Text each vendor a heads-up so they claim and verify their profile.
  4. Week 4

    Operate like an asset manager

Turn the workspace from a launch project into a weekly habit.

    • Set a Friday hour for Client concierge: work the list top down, mark tasks Done or Skip for now, draft the follow-ups.
    • Log every call and voicemail on the Activity tab, and answer every note a homeowner sends back.
    • Open a closing plan for anyone under contract so their timeline shows in their home file from day one.
    • Book one listing appointment where your own home file leads the conversation.
  5. Day 30

    Review and scale

Measure what happened, then widen the circle.

    • Count it in Client concierge: home files created, claimed, invites outstanding, pros claimed.
    • Ask your launch cohort one question: “Was this useful?” Write down the answers verbatim.
    • Choose the next ten clients to add in month two.
    • Share your best win at the office meeting. Teaching it locks in the habit.
